How to request time off and use your flex days
Use Proxify’s Time Off page to request and track time off, and view your vacation, sick leave, and public holiday history across engagements.

Using Time Off section, you can:

Request future vacation, sick leave, or register a public holiday.

Track upcoming and past time off.
- Understand the status of each request.
📆 Types of time off
When requesting your time off, you can choose between following types:
- Vacation
- Public holidays
- Sick leave
💡We strongly advise planning your vacations in advance, following the "Rule of 5": for every 1 week off, request it 5 weeks in advance.
🌴 Flex days in monthly compensation plan
Paid flex days are only available for tech talents on a monthly compensation plan, with dedicated hours engagements.
Flex day can be used to compensate absence due to vacation, public holiday, or sick leave.
In your "Time off" section, you will see:
- Paid flex days balance.
- Earned, used, and available days.
- A yearly flex days allowance.
Flex days balance is calculated based on approved time reports.
💡 Flex days are not available for hourly compensated Consultancy Agreements, and for flexible hours engagements.
For these plans, any time off taken is deducted from your payslip once the related time report is approved.
📊 Understanding your flex days balance
Your balance is shown using few columns:

Earned - Paid flex days you’ve accrued during the current year, based on approved time reports.

Used - Paid flex days you’ve already taken and that were included in previous approved reports.
- Available - The number of earned flex days excluding already used or booked flex days.
The balance updates after each approved time report.
You’ll also see detailed information about your total time off allowance for the year, helping you plan ahead more easily.
🗓️ Upcoming and past time off
To make tracking easier, the Upcoming time off and History sections follow the same structure:
- Upcoming time off shows your future requests.
- History shows your past time off.
☝️Important: paid flex days stay in "pending" state until the relevant time report is approved. Once it is approved, the History will show how many flex days were actually used.
🏷️ Time off statuses explained
Each time off request has a status:
- Pending: a future time off request, waiting for client's approval.
- Approved: a request approved by the client.
- Cancelled: the request that you cancelled.
- Reported after: time off reported retroactively, through check-ins.
- Same-day report: time off reported on the same day, through check-ins.
- Client unresponsive: the client has neither approved nor rejected the time off request, and the time off period has already passed.
🧑💻 How to request time off
The process is the same for all compensation plans:
- Go to the Time Off section
- Click Request time off
- Fill out the form and submit.
☝️If you work with several clients, please submit a separate time off request for each engagement you’ll be away from.
